2.2 Email subscription form (AI Insight emails)

When you opt-in to subscribe, we collect the details you enter, which include: first name, last name, email, company, phone, and position.

2.3 Website AI Assistant

When you use the website AI Assistant, we may collect the information you choose to enter into the chat, together with related interaction data such as the questions asked, responses provided and basic technical information needed to operate the service.

You should not enter confidential, commercially sensitive, special category personal data or unnecessary personal data into the AI Assistant. The assistant is provided to help visitors navigate Orr Consulting’s AI transformation content, services and contact routes. It should not be used to share private, sensitive or confidential information.

The AI Assistant is not intended to provide legal, regulatory, financial, medical or other professional advice, and should not be used for urgent or sensitive matters.

3. How we use your data (purposes):

We use your personal data to:

Respond to enquiries and communicate with you about your request.
Send AI Insight emails to subscribers who have confirmed their subscription, and to manage subscriptions/unsubscribes.
Maintain basic records of communications and subscription preferences (e.g., keeping an “unsubscribe” status so we don’t email you again).
Provide responses through the website AI Assistant and help visitors navigate relevant Orr Consulting content, services and contact routes.
Monitor and improve the AI Assistant, including reviewing interactions to assess response quality, routing, safety, accuracy and appropriate operating boundaries.

We rely on the following lawful bases to process your data:

Enquiries / contact form: Legitimate interests (running our business and responding to requests) and/or steps prior to entering a contract (where your enquiry relates to potential services).
Email marketing (AI Insight emails): Consent (you choose to subscribe and confirm via double opt-in).
Unsubscribe suppression: Legitimate interests (respecting your preferences and ensuring we don’t send unwanted emails).
Website AI Assistant: Legitimate interests — providing a useful website assistant, helping visitors access relevant content and services, monitoring performance and maintaining appropriate quality, safety and security controls.

5. Who we share your data with:

Our website is hosted on Wix, which provides the platform used to collect form submissions, manage site functionality and support website features, including the AI Assistant. Wix acts as a data processor when processing visitor data on our behalf.

Where the AI Assistant or other website features rely on third-party technology providers or sub-processors used by Wix, personal data may be processed by those providers as part of delivering the website service.

We do not sell your personal data.

6. Where your data is stored and international transfers:

Because we use Wix, your information may be stored in Wix systems and data centres in several locations (including the United States, Ireland, South Korea, Taiwan and Israel).

Where international transfers apply, Wix describes using recognised transfer mechanisms such as Standard Contractual Clauses (SCCs) and additional safeguards.

7. How long we keep your data:

We keep personal data only for as long as needed for the purposes above:

Enquiries: up to 12 months after the last meaningful contact, unless we need it longer (e.g., to administer an ongoing engagement, or for legal/accounting reasons).
Email subscribers: until you unsubscribe, or until we stop sending the AI Insight emails.
AI Assistant interactions: for as long as reasonably necessary to operate, monitor and improve the assistant, respond to any related enquiry, maintain security and quality controls, and manage any issue or complaint arising from use of the assistant. We will not keep AI Assistant interaction data for longer than necessary.

8. Your rights:

Under UK GDPR, you may have rights including: access, rectification, erasure, restriction, portability, and objection—plus the right to withdraw consent for marketing at any time.

Unsubscribe from emails: use the “Unsubscribe” link in any marketing email.
